We are looking a highly motivated individual prepared to take on an exciting new challenge as Personal Assistant to Superintendent Head of Intelligence and Superintendent Head of Public Protection and Vulnerability at British Transport Police. This role is a full time, permanent position based in our Force Head Quarters in London. This position is 37 hours per week starting at £26,527.06 per annum inclusive of £2,634 London Allowance.

As a Personal Assistant to the Superintendent Head of Intelligence and Superintendent Head of Public Protection and Vulnerability, you will make a significant contribution to the smooth running of the organisation by providing structured project support and coordinating key activities across the command. These hard-working professionals require a high-calibre individual to support them in the administrative tasks of their day-to-day work and your initiative will often be called upon.

 

The role holder will be required to take on a wide range of responsibilities which include managing complex schedules including booking meetings, conference calls, travel arrangements and taking minutes. You will also be comfortable handing financial information and decide on the most appropriate course of action in relation to a wide range of queries, documents, reports, drafting replies to these as necessary.

As Personal Assistant to the Superintendent’s you will be required to complete the following:

  • Organise meetings, coordinate and maintain diaries
  • Manage and support the Superintendent’s daily work load by undertaking research and planning to ensure they are appropriately briefed for meetings and to enable their time to be used effectively within the business.
  • Acknowledge all incoming mail formulate appropriate replies to routine correspondence or preparing draft responses as directed.
  • Delegate work to the senior management team and keep on track of progress to ensure delivery is achieved within the required timescales.
  • Maintain, update, file and archive correspondence and documents both electronically and manually, including the handling of highly classified and personal papers, ensuring confidentiality and compliance with GPMS marking-scheme guidelines, BTP procedures, Data Protection and Freedom of Information.
  • Perform telephone duties including intercepting calls, re-directing, taking messages or transferring calls as appropriate.
  • Lead on bookings for travel and accommodation and ensure they are booked in accordance to the Force policy.
  • Compile accurate financial, statistical and management information where appropriate.
  • Research, collate and analyse information to prepare timely reports, papers and presentations.
  • Be a first point of contact for all visitors and callers for the Superintendent.

The successful candidate will be required to evidence the following skills:

  • Previous relevant PA/secretarial experience or extensive administrative experience.
  • Experience in exercising diplomacy, tact and discretion in managing sensitive, personal and confidential matters.
  • Experience of scheduling meetings and events, preparing agendas and documentation, taking and drafting accurate actions and decisions.
  • Well-developed organisational skills and the ability to work under pressure, on own initiative and accurately to tight deadlines and able to prioritise between conflicting demands.

  • Salary of £26,527.06 per annum inclusive of London Allowance. Progress to the band maximum of £31,102.34 (inclusive of London allowance) will be via incremental progression.
